Here we will show you how to successfully use the Multi-Account Platform to create new separate Humanity accounts, clone, and access multiple accounts all from one convenient master account.
From your ‘Multi-Account Platform,’ you can access the ‘Manage Accounts’ area by going to the tab ‘Group Accounts’ and click ‘Manage Accounts’.
(If you don’t yet have this feature listed in your modules panel, then please contact a Humanity sales representative for details).
Under ‘Accounts’ you will see a list of all of your individual Humanity accounts.
Click on an account and to the right, the staff list will appear along with the ‘Locations’ and ‘Positions’ for that account.
To leave the ‘Multi-Account Platform’ and access the individual account first click on a staff member’s name and to the right, the staff member’s name will appear along with their profile information.
If you want to enter with full access to the administrative settings of that particular account make sure you select a staff member with a ‘Manager’ permission level. Now click the red arrow icon from top right and you will be taken into that account via the ‘Account Viewer’.
Now, you can make a change to any of the administrative settings if this user has the permission level. Be aware that you are in this particular account and any changes you make will only affect this account.
You can also change accounts using the 'Change Store' drop down. This is useful for accounts that want to go to the 'ShiftPlanning' for example, and quickly jump between different weekly schedule overviews on the group.
The ‘Multi-Account Platform’ also allows you to clone and create new separate Humanity accounts.
Go to: 'Group Accounts' -> ‘Manage Accounts’ -> ‘Create a New Account’ -> ‘Clone Account’ > 'Select any account' -> Choose what would you like to be cloned.
To create an entirely new account, add the ‘Account Name’, the ‘Admin Name’ and the ‘Admin Password’. This will be the username and password for the account. Then click ‘Create Account’. Now go back to ‘Manage Accounts’ and you will see your new Humanity account.
Under 'Group Accounts' -> 'Communication' you'll see a list of all notices you created or you can 'Create New Notices'. You can send notices to all accounts and select permissions who will be able to see them. You can also select when they will run and they will be visible on the 'Dashboard'. If you don't specify an end date, the notice will run forever. If you don't select a start or end date, today's date will be selected. Also> note that end date cannot be before the start date. You can delete them and edit it as well at any time.
Only managers can see the ‘Communication’ area. Here we have the group wide messaging system where messages will go out to all staff in all accounts through the 'Notice on Dashboard'. You can choose to select groups such as ‘Employee’, ‘Supervisor’, ‘Scheduler’ or ‘Manager’. The name of the sender will be visible in the message if you select 'Let users know who sent the message'. The sent messages will then be visible to all staff in the selected permission level in the main and sub accounts.
From 'Group Settings' you can enable or disable the ‘Scheduler’, ‘Supervisor’, 'Accountant' and 'Schedule Viewer' permissions group across group accounts.
Under 'Same Subdomain' you can set whether group accounts share the same subdomain. If unchecked, it should show what is set for that account while creating it. If checked and your account domain is ABC, the child's domain is set as 'abc1' and for the next one, it will show 'abc2'.
Here are the custom look and feel or Whitelabel options for child accounts.
Group Account Settings
In the tab ‘Settings’ the Master account now has a new option next to each setting in the master account.
If and when that is set to 'Force Child Setting' the child account CANNOT edit this setting, and will be set to whatever the parent is set to.
All managers on the parent group account have access to the ‘Group Accounts’ section. In the tab ‘Group Account’ there is a section for 'Permissions'. Here is only staff that have access to the group platform settings can see this area. Here click 'Edit Permissions' and you can set the available permissions by checking the corresponding check boxes.
Here it lists the number of users across all accounts on the group.
Under the 'Reports' section, you have the ability to view reports filtered by child accounts or for all store accounts together along with the 'Save as CSV' option.
This option needs to be enabled by your designated account manager from Humanity. It will allow you to have a Master account> Child Accounts> Sub Accounts. Simply navigate to 'Group Accounts'> 'Manage Accounts'> Click on Child Account name and hit 'Can be a parent'. Now access the child account through 'Manage accounts' and addition of the sub account under the child account is same as adding child account under master.
