Overview

If you are having trouble using Shift Release functionality, follow the steps in this article to troubleshoot and resolve the issue.

Objective

The objective of this tutorial is to show you how you can ask your Manager or resolve the possible issues you could face using Shift Release.

Things to know before you begin:

You must have a manager or admin access privileges to perform some troubleshooting steps in this article. If you have a Supervisor, Scheduler or an Employee level access, you’ll have to ask for help from your Manager when you get to those steps.

“Can’t view Shift Release Option”

Possible Cause: Related Settings are disabled by Manager under Settings Module > ShiftPlanning tab > Advanced.

Solution: Ask your Manager to enable the setting: Employees can release shifts as shown in Image 1.

“No co-workers available to take this shift appears”

Possible Cause: Related Settings are disabled by Manager under Settings Module > ShiftPlanning tab > Advanced.

Solution: Ask your Manager to enable the settings as shown in Image 2:

  1. Employees can view all schedules        
  2. Employees can see shifts assigned to the staff of the same position

“No notification received to confirm shift release requests before they reach potential acceptor”

Possible Cause: Related Settings are disabled by Manager under Settings Module > ShiftPlanning tab > Advanced.

Solution:
For Manager: Enable the settings, “Manager must confirm shift trades and releases before requests are sent to other employees” as shown in Image 3.

“No notification received to confirm final shift release acception”

Possible Cause: Related Settings are disabled by Manager under Settings Module > ShiftPlanning tab > Advanced.

Solution:
For Manager: Enable the settings, “Manager must confirm shift trades and releases after another employee requests to pick it up” as shown in Image 4.

“Manager/Supervisor not able to receive notification via Email/SMS to approve or reject Shift Release”

Possible Cause: It is a default behaviour of the application which does not send a notification to manager/supervisor via email/SMS but sends it to the scheduler permission level directly if the scheduler is assigned to that specific position as he/she gets to be the main approver.

Solution: Remove Scheduler permission level from that specific position so that you receive all the notifications directly.
Note: In case you have a scheduler assigned to the position you will receive notifications on dashboard notification panel.

“Not receiving any notification via Email/SMS”

Possible Causes:

  1. Manager has disabled the related settings under  Settings Module > Account tab > Frequently Used > Notifications tab.
  2. The individual has customized the settings under their Profile > Notifications
  3. Phone number or email address not confirmed.

Solutions:

For Manager: Enable the setting: Via e-mail or Via SMS as shown in Image 5.

For Manager, Supervisor, Scheduler and Employee:

  1. You need to confirm your email address and phone number to receive notifications via email or SMS as shown in Image 6 and Image 7.

  1. You need to change your Profile Notification settings.

“Not able to change the potential cover for shift release”

Reason: Once the initiator has selected the potential, it is a default behaviour no one can change the selected potential cover, however, there is an alternate solution to resolve it.

Solutions:

For Employees: Remove the request being the initiator and change the potential cover by sending the request again.
For Manager, Supervisor and Scheduler: If you want to change the potential cover, accept/reject or remove the request and assign the shift to the employee you want to cover i.e. change the schedule.
