[NEW] 'Approve or Decline' an Open Shift Request from ShiftPlanning

After publishing open shifts you'll need to approve or reject them, here's how you can do so from Shiftplanning.

Objective

The objective of this tutorial is to help you understand how to approve or reject an open shift request made by your staff from the Shift Edit Window.

Overview

Access from your: Computer
Applies to: Managers, Supervisors, Schedulers, Employee with scheduling permissions

After you publish an open shift, employee(s) who are eligible will request to work for that shift. It is the management's decision to approve or reject their request to fill the open slots accordingly.

Things to know before you begin:

  1. You must have a manager/admin, supervisor and scheduler access privileges to approve or reject an open shift request from ShiftPlanning.

  2. You can navigate the schedule to different dates by clicking the arrows found at top ShiftPlanning page.

  3. The setting 'Employee requests to pick-up open shifts are automatically approved' should be 'OFF' so manual approvals of the shifts are possible.

Approve or Decline an Open Shift Request

After your employee(s) request to work for an open shift:

Step 1: Click ‘ShiftPlanning’ tab from the top panel as shown in Image 1.

Step 2: Click on the desired ‘Open Shift’ to open the Shift Edit Window as shown in Image 2.

Step 3: If there are pending requests related to the shift, they will show up under the 'Requesting to Work' section from where you can either approve the request or decline it. Confirm accordingly if you want to accept the request of the employee or decline it as shown in Image 3.

Note: By clicking on the red button you will decline the request while clicking on the green button will approve the request. When declining the request, you will get a confirmation box as shown in Image 4.

Step 4: Once shift request is approved, slots on the shift will fill up and changes will appear on the shift as shown in Image 5.

Note: Once the request has been approved, your staff will receive a notification and will be assigned to that shift by filling the slot hence it is their responsibility to work for that shift.
