Overview
Access from your: Computer
Applies to: Admins, Managers, Supervisors, and Schedulers
The Partial Shift Pick-Up feature helps you staff less popular shifts and empowers you to provide more scheduling flexibility for your Employees. Also enabling this feature helps reduce back-and-forth communication and manual schedule changes.
Things to know before you begin:
You must have Admin/Manager/Supervisor/Scheduler access privileges to approve or reject a Partial Open Shift Request.
The "Employees can request to pick up a part of an Open Shift" setting needs to be ON, for this Partial Shift Pick-Up functionality to be enabled inside Humanity app.
The "Employee requests to pick up a part of an Open Shift are automatically approved" setting needs to be OFF, for you to manually manage incoming partial shift requests.
Employees can request parts of the Open Shift from the beginning or end of it, not in the middle.
The "Minimum Shift Duration" dropdown setting can be used to require a minimum duration of the Partial Shift Requests that Employees can submit.
The scenario outlined in this tutorial consists of the following building blocks:
Manually approve a Partial Open Shift request
Manually decline a Partial Open Shift request
Manually approve a Partial Open Shift request
Step 1: Click "Dashboard" tab from the top panel > Enter Manage Requests screen from the widget > Click on the "Review Request" button next to the shift you want to manage, as shown on Image 1.
Image 1
Step 2: Here you will see a list of all full-length shift requests, matching partial shift requests, and regular partial shift requests submitted for that Open Shift, as shown in Image 2.
Image 2
Note 1: All partial requests are sorted in an order that represents how well they cover the original Open Shift. When coverage of the requests is the same, they are prioritized by submission time.
Note 2: Full-Length shift requests are always displayed in the submission time order.
Note 3: Next to every submitted partial request you can see shift leftover time if there is any. This is the time that will be left not covered after you approve the correlated partial Open Shift request.
Note 4: Partial requests that are compatible and provide better coverage of the original shift together are automatically combined and presented in a Matching Partial Shift Request category, as shown in Image 3.
Image 3
Step 3: Click on the green Approve button next to the option that you think fits your scheduling needs the best, as shown in Image 4.
Image 4
Note: Matching Partial Shift Requests allow you to save time by spotting the best combination of partial requests and bulk-approving them. You can also bulk decline them.
Step 4: Before finishing the manual partial shift request approval, you will need to pick what to do with the shift leftover time, if you choose to delete those parts of the shifts that are not picked up all other pending requests for that shift should be automatically dismissed, as shown in Image 5.

Note: Choosing the other option for the leftover time that was not picked up, would result in creating a new Open Shift (with 1 available Open Slot).
