Objective

The objective of this tutorial is to give you the complete overview for Humanity iOS mobile application for employees.

Overview

Learn all the modules and it's related features that can be useful for you as an employee while using Humanity's iOS mobile application.

Things to know before you begin:

  1. You must log in to Humanity application using your email address/username and password to access the application.
  2. The visibility of some option might vary according to the permission level and the settings defined in Humanity by your Manager(s).
  3. Application requires iOS 11.0 or later and it is compatible with iPhone, iPad, and iPod touch.

Dashboard

Being an employee, once you log in to Humanity mobile app, it takes you to the Dashboard module as it is the default view. It contains all those widgets which you’ve enabled for your profile.

If you have enabled all of the widgets under 'Settings', you can view the enabled widgets and also your notifications on the Dashboard.

Customize the Widgets

Tap the 'Gear' icon > Use the toggle button to enable or disable the widgets you wish to view on the Dashboard.

View Notifications and Stay Updated!

Tap the 'Bell' icon and you can view all your new notifications. 

Note: Once you have checked all notifications, you can clear all of them by tapping 'Clear all'.

Upcoming Shift Widget

You can view your upcoming future scheduled shifts under 'My Next Shift' widget by tapping 'See More'.

Note: You can view future shifts by tapping 'Load next 30 days' tab at the bottom.

Who is on now Widget

View your co-workers who are clocked in and scheduled to work.


Once you tap 'See more' and you will be able to view the details of the co-workers who are on duty.

Who is late Widget

View your co-workers who are late for the work (if any) according to their schedule.

Once you tap 'See more' and you will be able to view the details of your co-workers who are late.

Who is on leave Widget

View your co-workers who are on leave.

Once you tap 'See more' and you will be able to view the details of your co-workers who are on leave.

Shift for Pick-up Widget

If any open shifts are available to work on, you can tap 'See More' to request to work on them. 

You can tap on the shift which you wish to request to work on > Tap 'Request open shift' to pick up that shift.

Note: You can also cancel the requested open shift by tapping 'Cancel Open Shift Request' if needed.

Message Wall Widget

It displays the most recent posted message and allows you to tap on ‘See More’ to take you directly to all the messages posted on the wall.

Notes:

  1. Tap the '+' icon to create a wall post. 
  2. Tap the 'arrow' icon to reply on the posted message.
  3. Tap the 'bin' icon to delete your posted comment.

Training Progress Widget

This widget reflects your training progress in percentage. Tap on ‘See More’ which will redirect you to the 'Training' page in the application where you will be able to view and complete the assigned training topics by your managers.

Birthdays Widget

It will list the upcoming birthdays of your co-workers in the Humanity account. Tap 'See more' to view the complete name of your co-workers.

Note: You must make sure to add birthdays under the staff's profile.

Shortcut to 'Time Clock'

You can directly clock in/out or mark break using the alternative to time clock directly from the 'Dashboard' module.

ShiftPlanning

"ShiftPlanning" is the core of Humanity application; it includes all the features related to Scheduling.
Once you tap on the 'ShiftPlanning' tab, it will lead you to your's 'Schedule' window after you acknowledge the shifts.

Mini Calendar

Using the 'arrows' under 'Mini Calendar' you can select your desired date and view the shifts of that day.

Different Views under 'ShiftPlanning'

You can switch from 'My Shifts' to 'Pick Up' or 'All' schedule view.

My Shifts: Access and View Your Scheduled Shifts!

You can use this view to view all your scheduled shifts along with your total working hours.

Pick Up: View and Pick Up Open Shifts Available To Work!

You can use this view to view your pick up/open shifts. Tap on the shift that you are interested in picking up > Tap 'Request open shift' to pick it up.

Note: You will have to wait for the Manager's approval and cancel the open shift request if needed.

All: View All Shifts or Use Filters to Customize the View!

You can use this view to have complete details of your schedule.

Filters icon below the mini calendar can further customize the view by using it.
You can filter to view 'All shifts', 'Shifts on my positions', 'Shifts on my location' and 'Custom filter'.

Time Clock

Humanity is the central hub where you can easily clock in & out. Upon accessing the Humanity mobile app over Android device, the 'Time Clock' option is found at the bottom of the application.

‘Time Clock’ has various features, which makes it easier for you to view your approved or unapproved time sheets or add your clock in and out timestamps to make sure that you came and worked for your scheduled hours.

Different Views under 'Time Clock'

You can switch from 'Clock' to 'My' time clock view.

Clock: It will let you manage your timestamps!

Once you tap 'Clock in' from the 'Clock In' option available at the bottom of the page. You will see the time clock 'Timeline' of your shift from clock-in to clock-out. You will be able to use and have access to the listed options below according to the time clock settings:

  1. Position
  2. Remote Site
  3. Notes
  4. Tips
  5. Coffee Icon to mark breaks: Take a break when it's time and 'Resume Shift' once your break is over.

Note: If the manager has enabled pre-clock in settings only then you will be able to view "I'm on my way' tab.

My: View your own approved or unapproved timesheets!

At the top of the Time Clock Tab, you can toggle from 'Clock' to 'My' tab and it will give access to all of your previous timesheets along with in-progress time clock for the current day as well.

Edit Timesheets under 'My' View

You may edit any of the timesheet by tapping on it which will land you to the time clock details > Tap on the 'Edit' tab to modify the timesheet.

You may edit the listed option below for all timesheets:

  1. Position
  2. Clock In Date/Time of the timesheet
  3. Clock Out Date/Time of the timesheet
  4. Breaks
  5. Remote Location
  6. Tips
  7. Notes

Add Time Clock Manually under 'My' View

You can access the option to add time clock manually for yourself under 'My' view, which once approved, will enter the timesheet data.

Tap on the '+' icon from the top-right corner of the 'Time Clock' to create a new timesheet. 

To add a clock time, you need to enter the following information:

  1. Employee Name
  2. Position
  3. Clock In Date/Time
  4. Clock Out Date/Time
  5. Remote Location
  6. Tips
  7. Notes

You can also select the 'Only Clock In' option which allows you to historically clock in if you forgot to clock in at an earlier time.

Note: "Edit Timesheets and Add Time Clock Manually" is only available if the managers/admin in Humanity has given you access to it.

Availability

Tap 'Availability' and it will let your managers know the time they are available or unavailable to get them scheduled for their work daily.

Different Views under 'Availability'

You can switch from 'Weekly' to 'Future' time clock view.

Weekly Availability

You can set the weekly availability which will repeat every week, the same day & time unless changed otherwise.

Future Availability

Future availability is a one-time availability set for a specific date in future. Future availability settings override your weekly availability on that specific date.

Setting Up Weekly Availability

Tap on the day you want to set up the availability > Tap on the 'Add Time' tab in that particular day and select the time slots > Tap 'Save' at the bottom to complete saving the availability for that day.

Notes:

  1. You can select multiple times in a day and can also mark whole day as unavailable.
  2. You can also clear your unavailable hours for a particular day in the week by tapping on 'Clear all day' tab.
  3. You are available by default for 24/7 in your weekly availability section unless you select otherwise. 
  4. The app will also show you the status of your previously added requests.

Delete the Weekly Availability

Tap on the added weekly availability > Tap the 'Cross' icon to delete the weekly availability.

Setting Up Future Availability

Tap on the '+' icon to add the future unavailability slots under 'Future' view > Scroll and set the date > Tap 'Add Time' > Scroll and set the time > Tap 'Save' tab to send the request for approval.

Notes:

  1. You will have to set availability for each day individually. 
  2. You can also clear your unavailable hours for a particular day in the week by tapping on 'Clear all day' tab.

Delete the Future Availability

Tap on the added future availability > Tap the 'Bin' icon to delete the future availability > Tap 'Delete' tab for confirming to delete the availability.

Edit Weekly and Future Availability

Edit availability by tapping on the added time slots > Modify the time > Tap 'Save' tab.

Edit Your Profile

Tap 'More' > Tap on your profile image or your name, it will redirect you to the 'Employee Details' page where you can edit your profile details > Tap 'Edit' from the top-right corner > Make the changes and tap 'Done' to confirm the changes.

Messages

Post any message(s) on message wall to notify all of your co-workers of updates or announcements. View, create or receive messages through Inbox or Sentbox.

Tap 'More' > Tap 'Messages' to use features under 'Messages'.

Different Views under 'Messages'

You can switch between 'Message Wall', 'Inbox' or 'Sentbox'.

Message Wall: Post messages on the message wall!

It displays the most recent messages posted on the wall. You can post messages and reply to the posted messages.

Inbox: View, create & receive messages!

You can view all your received messages in this section with all the details and content.
Note: Tap on the filters tab to filter the inbox messages by read or unread status.

Sentbox: View your sent messages!

You can view all your sent messages sent to your co-workers.

Post a Wall Message

Tap 'More' > Tap 'Messages' > Tap the '+' icon under 'Wall' view > Create the wall message > Tap 'Post Message'.

Reply to the Posted Message or Delete the Reply if needed.

  1. Tap the 'arrow' icon to reply on the posted message.
  2. Tap the 'bin' icon to delete your posted comment.

Create a New Conversation

Tap 'More' > Tap 'Messages' > Tap the '+' icon under 'Inbox/Sent' view > Create the message > Tap 'Send'.

Leave

The purpose is to request leaves, view your requested leaves along with leave request details, check your leave balances and view all your co-workers leave requests.

Tap 'More' > Tap 'Leave' to use features under 'Leave' module.

Different Views under 'Leave'

You can switch between 'My' and 'All' view. You can request leave under both views.

My: Tap to check leave balance and view your leaves!

Tap 'Tap to check leave balance' tab: You can view the details of your type of leaves, remaining and total entitled leave days.

You will be able to view all of your past leaves on the main screen. 

All: View all approved leaves of your co-workers!

Toggle from 'My' to 'All' tab under Leave module: View all the approved leaves according to the calendar view. You can tap on the filter to refine your search under this section.

Request Leave

You can request and submit leave, tap the '+' icon from the top-right corner > Select the 'Leave type', 'Start/End Date & Time, Add 'Note' (Optional) > Tap 'Request Leave' tab to go back to the main view.

List of options under 'Request Leave' tab:

  1. Leave Type
  2. Hourly
  3. Leave begins: Start date/time
  4. Leave ends: End date/time
  5. Add Note

Shift Requests

This section shows all the shift requests generated by your co-workers with you which are either pending or expired and requires you to either accept or reject it.

Tap 'More' > Tap 'Shift Requests' > Tap 'Accept' or 'Reject' as per your preference.

(Shift Requests Example: trade request and other shift requests) made by your co-workers.

'Filters' under 'Shift requests':

Tap on the filter to refine your search under 'Shift requests':

  1. Pending: You can view the shift requests made for you by your co-workers which are pending for approval.
  2. Expired: You can view all the shift requests made for you by your co-workers which are expired.

Staff

Either search and view your co-workers or edit your profile.

Search and View Your Co-workers

Tap 'More' > Tap 'Staff' module to search and view your co-workers from your mobile phone.

Edit Your Profile

You can also edit your profile by tapping on your name > Tap 'Edit' > Edit your details > Tap 'Done' and all the changes will be updated.

Training

Tap 'More' > Tap 'Training' to view the assigned training topics to you.

View and Complete Your Assigned Training's

Tap on the training topic > Tap 'I've finished reading' tab to complete the assigned training topic. You will also be able to view the completion percentage status.

Shared Files

Tap 'More' > Tap 'Files' to view all the uploaded files by your management (if any) under this section.

Search, View and Download Shared Files

Note: In case of a long list of files, you have to search option on top to enter the keyword and have the file pulled up quickly. 

Settings

Tap 'More' > Tap 'Settings' to configure the calendar sync, manage widgets and notifications.

Settings are categorized into three sections: Calendar Sync, Widgets and Notifications.

Calendar Sync

Tap on 'Calendar Sync' and receive instructions on how to sync your Humanity schedule alongside your other events in application like iCal, Google Calendar or on your mobile devices.

You can sync calendar in two ways: 'My Schedule' and 'Specific Position' by tapping on the desired tab.

Widgets

Use the toggle button to enable or disable the listed widgets which will make them appear on the Dashboard wall according to your defined settings.

Notifications

Use the toggle button to enable or disable the general settings to receive notifications of different features.

You can manage three types of notifications: Email, SMS and Push. Each setting under these sections can be customized and is for an action that will take place and generate a relevant notification.
