Objective

The objective of this tutorial is to help you understand how to create, edit & delete rate cards.

Overview

'Rate Card' is used to define 'Overtime' rate. Default Card is assigned to all users' profiles, any newly created 'Rate Card' must be assigned to staff members’ profiles. There is no limit on the number of rate cards you can create.

Things to know before you begin:

  1. You must have a manager/admin access privileges in Humanity to create, edit or delete rate cards.

  2.  'Default Card' is assigned to all users' profiles, any newly created 'Rate Card' must be assigned to staff members’ profiles.

  3. You can also edit or customize the default card information.

The scenario outlined in this tutorial consists of the following building blocks:

Types of Overtime under Rate Cards

Weekly Overtime Rate

This is the overtime rate that will be applied once an employee's weekly overtime limit is reached. Add weekly overtime information under 'New Payroll Card' section next to weekly overtime rate or code as shown in Image 1.

Note:
Weekly overtime quota or threshold is set under the 'Payroll' settings or under 'Employee's Profile.'
You can set overtime percentage on the rate card but the threshold is set next to "Max Weekly Hours (overtime)."

Daily Overtime Rate

You can set multiple daily overtime rules, daily overtime field allows you to set both the rate as well as daily overtime quota/threshold. Add the hours and pay rate % along with overtime code as shown in Image 2.

Note:
The 'Payroll Settings' as well as 'Employee's Profile' also allows you to set the daily overtime quota (Just quota, not the rate) next to the option is "Maximum Daily Working Hours."

Hourly Overtime Rate (Special Hours)

Special hours are set if you are paying your employees at a different rate than their base wage rate. Edit the percentages under the days next to the timelines to define the special hours overtime as shown in Image 3.

Example: Staff’s base wage rate is set to $10, however, you want to pay double if s/he works between 1 am-5 am on Sunday.
You can set the hourly chart for Sunday to 200% from 1 am-5 am. Any shift scheduled during those hours will be calculated at 200% of the base pay.

Create a Rate Card

Step 1: Click the 'Payroll' module from the top-panel > Click 'Payroll Settings' tab from the left-hand side as shown in Image 4.

Step 2: Click 'New Rate Card' tab from the top-right corner > Add the information next to your desired overtime as shown in Image 5.

Edit the Rate Card

Step 1: Click on the existing information to edit it as shown in Image 6.

Delete the Rate Card

Deleting this card will revert any staff that were assigned to this back to the default card.

For Weekly

Click 'Delete this card' tab next to weekly overtime rate card to delete it as shown in Image 7.

For Daily Overtime

Click 'x' icon to delete the added daily overtime as shown in Image 8.

For Hourly Rate

You can edit the defined rates under hourly rate chart to delete the card back to 100%.

The 'Confirmed Hours Reports' will now calculate your staff cost based on the applied rate card.
