Different Ways to Send Activation E-mails

Three ways to send an activation email to your staff to get started with Humanity.

Objective

The objective of this tutorial is to help you understand how to send activation emails in three different ways.

Overview

There are three ways to send an activation email to your staff explained below.

Access from your: Computer
Applies to: Managers and Supervisors

  1. You can activate your staff by sending them an activation email in bulk at once.

  2. You can also send an activation Email while adding an employee using a detailed form.

  3. You can activate an employee through the employee’s profile.

Things to know before you begin:

  1. You must have a manager/admin, supervisors access privileges in Humanity to ‘Send Activation Emails in Bulk’ and ‘Send an Activation Email while Adding an Employee using Detailed Form’

  2. You must have a manager/admin, supervisors and schedulers to ‘Send an Activation Email via Staff Profile’

  3. Employees will have to set the passwords once they receive the activation email to activate their account of Humanity.

  4. An email address should be added under the staff profile before sending an activation email.

  5. You can send an activation email in different views (Gallery, List and Custom).

The scenario outlined in this tutorial consists of the following building blocks:

  1. Send Activation Emails in Bulk

  2. Send an Activation Email while Adding an Employee using Detailed Form

  3. Send an Activation Email via Staff Profile

Send Activation Emails in Bulk

Step 1: Click ‘Staff’ module from the top-panel as shown in Image 1.

Step 2: Click ‘Not Activated’ tab from the left-hand side as shown in Image 2.

Step 3: Click ‘Send Activation E-mail Now’ tab as shown in Image 3.

Step 4: Click ‘OK’ tab as shown in Image 4.

Send an Activation Email while Adding an Employee using Detailed Form

Step 1: Click ‘Staff’ module from the top-panel as shown in Image 5.

Step 2: Click ‘Add Employees’ tab as shown in Image 6.

Step 3: Click ‘Detailed Form’ tab if you want to add detailed information for your staff while adding them as shown in Image 7.

Note: There are two types of mode (switch or detailed) as shown in Image 8, you can add details as per your requirements.

Step 4: Check ‘Send Activation’ as shown in Image 9.

Notes:

  1. If this box is checked and an account is set up with an e-mail address a welcome e-mail will be sent to this employee with their login instructions.

  2. If this box is left unchecked, they will be silently added to the system and can be sent their activation email or given their login details at any time later.

Step 5: Either click ‘Create Employee’ or ‘Create Employee & Add Another’ tab as shown in Image 10.

Send an Activation Email via Staff Profile

Step 1: Click ‘Staff’ module from the top-panel as shown in Image 11.

Step 2: Click on the name of the ‘Staff’ to go to the profile of an individual you want to send an activation email to as shown in Image 12.

Step 3: Click ‘Send Activation E-mail Now’ tab as shown in Image 13.
