Objective

The objective of this tutorial is to show you how to approve, unapprove, & delete the timesheets (working hours) for your staff.

Overview

Access from your: Computer
Applies to: Managers, Supervisors and Schedulers

Manage timesheets of your staff for any selected time. You can edit, approve, unapprove and delete the timesheets as per your business requirements.

You can view staff clocked hours against scheduled hours for your selected day. Showing both pieces of information was highly requested by our customers in order to make the Timesheets approval process more intuitive.

Things to know before you begin:

  1. You must have a manager, supervisor and scheduler access privileges in Humanity to manage time sheets.
  2. Schedulers can manage time sheets for the position they have access given by the manager.
  3. The manager must enable ‘Enable Scheduled Details In Timeclock Manage Section’ settings to give access to view clocked hours vs scheduled hours.

The scenario outlined in this tutorial consists of the following building blocks:

  1. Approve and Unapprove Timesheets via Time Clock
  2. Delete Timesheets via Time Clock
  3. Approve, Unapprove and Delete Timesheets via Dashboard

 Approve and Unapprove Timesheets via Time Clock

Step 1: Click the 'Time Clock' module from the top panel as shown in Image 1.

Step 2: Click ‘Manage Time Sheets’ tab from the left-hand side as shown in Image 2.

Step 3: Select the filters according to your requirement for Timeline, Employees, All/Approved/Unapproved, Schedules, Locations and Skills to pull up the desired data as shown in Image 3.

Step 4: Check the boxes next to the timesheet which you wish to approve or unapprove as shown in Image 4.

Note: Timesheets can be bulk approved by marking the 'Check All' box as shown in Image 5.

To Approve the Timesheets: 

Click 'Approve' tab next to the timesheet for approving the timesheet as shown in Image 6.

Or

Click ‘Approve’ tab from the drop-down to approve all the timesheets at once as shown in Image 7.

Step 5: Click 'OK' to confirm or ‘Cancel’ as per your requirement as shown in Image 8.

To Unapprove the Timesheets:

Click 'Unapprove' tab to approve the timesheet you have marked as shown in Image 9.

Or

Click ‘Unapprove all’ tab from the drop-down to approve all the timesheets at once as shown in Image 10.

Step 5: Click 'OK' to confirm or ‘Cancel’ as per your requirement as shown in Image 11.

Delete Timesheets via Time Clock

Step 1: Click the 'Time Clock' module from the top panel as shown in Image 12.

Step 2: Click ‘Manage Time Sheets’ tab from the left-hand side as shown in Image 13.

Step 3: Select the filters according to your requirement for Timeline, Employees, All/Approved/Unapproved, Schedules, Locations and Skills to pull up the desired data as shown in Image 14.

Step 4: Check the box next to the timesheet which you wish to delete as shown in Image 15.

Note: Timesheets can be deleted in bulk by marking the 'Check All' box as shown in Image 16.

Step 5: Click 'OK' to confirm or ‘Cancel’ as per your requirement as shown in Image 17.

Approve, Unapprove and Delete Timesheets via Dashboard

Step 1: Click the ‘Dashboard' module from the top panel as shown in Image 17.

Step 2: Click ‘Time Sheets’ widget from the left-hand side dashboard notification panel as shown in Image 18.

Follow the same steps explained under ‘Approve/Unapprove Timesheets via Time Clock’ and ‘Delete Timesheets via Time Clock’ to select the filters, timesheets, approve, unapprove and delete the timesheets.

That's it! This is how you can Manage Time Sheets by approving, unapproving or deleting them via Time Clock module.
