Use color codes to identify position based schedules

Objective

The objective of this tutorial is to help you better visualize the schedule by date range and visual view.

Overview

Access from your: Computer
Applies to:
Managers, Supervisors, Schedulers

Visual view enhances the way you can view all your shift details at a glance. This view lists your shifts in a 24-hour bar graph. The visual view can be customized to be seen with a day, week, or month mode.

Things to know before you begin:

  1. You must have a manager/supervisor/scheduler access privileges in Humanity to have the complete view of filters.

  2. ShiftPlanning tab will open up in "week" mode as it is the default mode.

  3. The visual view cannot be expanded in 2 weeks or 4 weeks mode.

  4. You can navigate the schedule to different dates by clicking the arrows found at top mid of the app.

The scenario outlined in this tutorial consists of the following building blocks:

  1. Visual View + Day Mode

  2. Visual View + Week Mode

  3. Visual View + Month Mode

Visual View + Day Mode

This combination of visual view and day mode shows the shifts in a 24 hours timeline, where you can scroll down to the later times to see if you have any shift created for a certain time.

Step 1: Click ‘Shiftplanning’ module from the top panel as shown in Image 1.

Step 2: Select ‘My Schedule’ or ‘Schedule Overview’ from the left-hand side of the filter panel as shown in Image 2.

Step 3: Select ‘Visual View’ from the right hand said as shown in Image 3.

Step 4: Select ‘Day’ mode from the top left as shown in Image 4.

This combination allows you to see the following at a glance:

  1. Name of the employee(s)

  • Note: You will only see your name if your manager has not allowed you to see your coworkers.

  1. Position name and the assigned color code of that position

  2. Shift start/end time

  3. Additional Location

Visual View + Week Mode

 

This combination of visual view shows the shifts in a 24 hours timeline for a full week. In this view, you can scroll down to the later times to see if you have any shift created for a certain time on a certain day in a week.

Step 1: Click ‘Shiftplanning’ module from the top panel as shown in Image 5.

Step 2: Select ‘My Schedule’ or ‘Schedule Overview’ from the left-hand side of the filter panel as shown in Image 6.

Step 3: Select ‘Visual View’ from the right hand said as shown in Image 7.

Step 4: Select ‘Week’ mode from the top left as shown in Image 8.

This combination allows you to see the following at a glance:

  1. Position name and the assigned colour code of that position

  2. Shift start/end time

  3. Additional Location

Visual View + Month Mode

 

This view shows the weeks of the month along with the shift times, your name or staff names and the shift position indicated by colour. You can see more details about the shift by clicking the shift.

Step 1: Click ‘Shiftplanning’ module from the top panel as shown in Image 9.

Step 2: Select ‘My Schedule’ or ‘Schedule Overview’ from the left-hand side of the filter panel as shown in Image 10.

Step 3: Select ‘Visual View’ from the right hand said as shown in Image 11.

Step 4: Select ‘Month’ mode from the top left as shown in Image 12.

This combination allows you to see the following at a glance:

  1. Number of the week

  2. Name of the employee(s)

  3. Color code of that position

  4. Shift start/end time
