Different Ways to View Schedule

Better visualize the schedule by date range and schedule views.

Objective

The objective of this tutorial is to help you better visualize the schedule by date range and schedule views.

Overview

Access from your: Computer
Applies to:
Managers, Supervisors, Schedulers and Employees

Under the 'ShiftPlanning' tab at the upper right corner, schedule views can be changed based on the view type and the date range. You can navigate the schedule to different dates under any selected view by clicking the 'arrows' found at top mid of the page.

Things to know before you begin:

  1. ShiftPlanning tab will open up in "week" mode as it is the default mode.

  2. You would need to click "Schedule Overview" from the left menu of the app, to reveal the position view.

  3. You can navigate the schedule to different dates by clicking the arrows found at top mid of the app.

The scenario outlined in this tutorial consists of the following building blocks:

  1. Basic Views
    a) Employee View
    b) Position View
    c) Visual View
    d) List View

   2. Timeline Views
       a) Day Mode
       b) Week Mode
       c) Month Mode

Schedule Views

Schedule views are divided into two parts: Basic view and Timeline view as shown below:

Basic Views

Basic view includes employee, position, visual and list view as shown in Image 1.

The first step will be the same to view employee, position, visual and list view.

Step 1: Click ‘ShiftPlanning' module from the top-panel as shown in Image 2.

Employee View

Employee view shows either your name or staff names to the left with their corresponding shifts on the calendar.

Step 2: Click ‘Employee view’ from the right-hand side as shown in Image 3.

Position View

Position view lists your staff positions to the left with their corresponding shifts on the calendar.

Step 2: Click ‘Position view’ from the right-hand side as shown in Image 4.

Note: 'Employee and Position view' can further be customized to be seen in Day, Week, 2 Week and 4 Week mode.

Visual View

Visual view enhances the way you can view all your shift details at a glance. This view lists your shifts in a 24-hour bar graph.

Step 2: Click ‘Visual view’ from the right-hand side as shown in Image 5.

List View

List view represents your staff schedule in a top to bottom list with the shift position, time and additional shift details.

Note: The "Visual and List" view can further be customized to be seen in Day, Week and Month mode.

Timeline Views

You can view the schedule by Day, Week, 2 weeks, 4 weeks and Month by using the buttons at the top left side as shown in Image 7.

Day Mode

Day mode is helpful when you want to have better visual coverage for a single day. Click "Day" tab at the top right or press the shortcut key 'D' to view the Schedule in Day mode.

Step 2: Click ‘Day Mode’ from the top left-hand side as shown in Image 8.

Week Mode

Week mode gives you a better visual coverage for the whole week. The week mode can further be expanded to 2 weeks or 4 weeks.

Note: Week start day is set to Monday by default under ‘Settings’ module. 

Month Mode

Month view shows the weeks of the month along with the 'Shift times', 'Staff name' and the 'Shift position' indicated by assigned colors to the position. You can also see more details about the shift by clicking on the shift.

Step 2: Click ‘Month Mode’ from the top left-hand side as shown in Image 10.
